Add Shared Calendar in Outlook Web (OWA)

Guide 10-4960 · Updated · Step by step

This guide shows you how to add a shared calendar in Outlook on the web (OWA), so you can view and manage a colleague’s or team’s schedule alongside your own. You’ll need the exact sharing link or the person’s email address, and you must be signed in to Outlook on the web in a browser.

What You’ll Need

  • An Outlook on the web account (work or school, or a Microsoft 365 personal account).
  • The shared calendar’s direct URL (if you received a link) or the email address of the person who shared it with you.
  • Permission to view the calendar (the owner must have shared it with you).

Step-by-Step

  1. Open your browser and sign in to Outlook on the web at outlook.office.com or your organization’s OWA address.
  2. In the left navigation pane, locate the Calendar icon (it looks like a small calendar square) and click it. This opens your calendar view.
  3. On the calendar toolbar, click the Add calendar button. It’s usually a plus icon or a calendar with a plus sign, located near the top of the calendar pane.
  4. A panel appears with several options. Choose From directory if you want to add a calendar shared by someone in your organization. Type their name or email address in the search box, then select the person from the results. Their calendar will appear in your calendar list.
  5. If you received a direct link to a shared calendar (for example, an ICS file or a URL), choose From URL instead. Paste the URL into the field and click Add.
  6. If you have an .ics file saved on your computer, choose Upload from file, browse to the file, and select it.
  7. After adding, the shared calendar appears in the left pane under Other calendars. Click the checkbox next to it to show or hide its events.
  8. To make the shared calendar open by default, right-click (or long-press) the calendar name, select Open calendar, and it will be added to your main view.
  9. If you need to edit or remove the shared calendar later, right-click its name and choose Calendar options or Remove.

Common Mistakes

  • Typing the wrong email address – Make sure you spell the person’s email exactly as they shared it, especially if it’s a group mailbox.
  • Choosing the wrong option – “From directoryâ€ only works within your organization. For external calendars, you must use “From URLâ€ or “Upload from file.â€
  • Forgetting to click “Addâ€ – After typing a name, you must click the search result or press Enter, then click the Add button to actually add it.
  • Not having permission – If you haven’t been granted access, the calendar won’t appear. The owner must share it with you first.
  • Using a personal account – Some shared calendars are only available for work/school accounts. If you’re using a free Outlook.com account, the directory option may not work.

Tips

  • Use the From directory option for colleagues in the same organization – it’s faster and automatically sets the correct permissions.
  • If you receive a link that ends in .ics, you can often just click it and it will open in your calendar app, but to add it in OWA, use the From URL option.
  • You can add multiple shared calendars – they’ll all appear in the left pane, and you can toggle them on/off.
  • To see the shared calendar in a side-by-side view, click the Day or Week view and the shared calendar will display alongside yours.
  • If you need to share your own calendar, go to Calendar > Share and choose who can view or edit.

Troubleshooting

  • The calendar doesn’t appear after adding – Refresh the page (F5) or sign out and back in. Sometimes the calendar list takes a moment to update.
  • You see “You don’t have permissionâ€ – Ask the owner to check the sharing settings and confirm they used your correct email address. If it’s an external calendar, they may need to send you a direct link.
  • The calendar shows but no events – Check that you’re viewing the correct date range. Also, the owner might have set permissions to “Free/Busy onlyâ€ – you’ll see time blocks but no details.
  • Can’t find the “Add calendarâ€ button – Make sure you’re in the Calendar view, not Mail. The button is usually at the top of the calendar pane, not in the main toolbar.
  • Shared calendar is read-only – This is normal if the owner gave you view-only access. To edit, they need to change the permission level to “Can edit.â€
  • Adding a URL fails – Check that the link is complete and starts with https://. Some links expire, so ask for a fresh one.

Frequently Asked Questions

Can I add a shared calendar from a personal Gmail account?

Yes, if the owner shares a link or an .ics file, you can add it via “From URL or “Upload from file. However, Google Calendar links may need to be public or shared with “Anyone with the link.

Why can I only see free/busy times and not event details?

That’s a permission setting. The owner has set the sharing level to “Can view free/busyâ€ instead of “Can view all details.â€ Ask them to change it.

How do I remove a shared calendar?

Right-click the calendar name in the left pane and select “Removeâ€ (or the trash icon). This only removes it from your view – it doesn’t delete the calendar for others.

Will changes I make to a shared calendar affect the owner’s calendar?

Only if the owner has granted you “Can edit permission. If you have edit rights, changes you make (like adding or modifying events) will be visible to everyone who has access.

Can I add a shared calendar on the Outlook mobile app?

Yes, but the steps are different. In the mobile app, go to Calendar, tap the menu (three lines), then “Add calendar and choose the appropriate option. The web version is often easier for adding external links.

Why is the shared calendar not syncing with my desktop Outlook?

If you’re using the desktop Outlook app, you may need to add the shared calendar separately. In desktop Outlook, go to File > Account Settings > Calendar, then add the shared calendar using the same email or URL.
