Change or Remove the Primary Account in Outlook

Guide 10-2549 · Updated · Step by step

Changing Outlook’s primary account can make a different address the default for sending and receiving mail; removing an account disconnects it from Outlook on that device. The steps depend on whether you use classic Outlook for Windows, new Outlook, Outlook for Mac, or a mobile app, and classic Outlook has an important limitation: you generally cannot simply remove its primary account from an existing profile.

What You’ll Need

  • Access to Outlook and the account you want to use, including its password or required sign-in verification.
  • If using classic Outlook for Windows, time to create a new profile if you need to replace the primary account. Keep the old profile until you have checked that your mail and data are available.
  • For a work or school account, check with your organization’s administrator before removing it; access or settings may be managed centrally.

Step-by-Step

  1. Identify your Outlook version. In Windows, the new Outlook has a Settings gear and a modern interface; classic Outlook has the traditional ribbon and File tab. On Mac, use Outlook’s menu bar. On a phone or tablet, use the Outlook app. The options differ, so follow the matching instructions below.
  2. Decide whether you want to change the default or remove the account. Changing the default keeps the account connected but makes Outlook use another address for new messages. Removing it disconnects that mailbox from the app. It does not necessarily close the email account or delete messages from the provider’s server.
  3. In new Outlook for Windows, change the default sending account if the setting is available. Select the gear icon, open Accounts, then Email accounts. Find the account and look for the option to set it as the primary or default account. The exact controls can vary as new Outlook changes; if you do not see a default-setting option, choose the sender for each message instead. When composing, select the address in the From field.
  4. In new Outlook for Windows, remove an account. Open Settings > Accounts > Email accounts. Select the account, choose Manage or its available removal option, and confirm. If Outlook warns that locally stored content will be removed, read the notice before proceeding. Removing an account here removes its connection from Outlook, not the account itself.
  5. In classic Outlook for Windows, set the default sending account. Select File > Account Settings > Account Settings. On the Email tab, select the account you want and choose Set as Default. Close the dialog and restart Outlook if the change does not take effect immediately. In a new message, check the From field before sending.
  6. Replace the primary account in classic Outlook for Windows by making a new profile. If you need to remove the account that Outlook identifies as primary, close Outlook and open Windows Control Panel. Search for and open Mail or Mail (Microsoft Outlook), then select Show Profiles and Add. Give the profile a name, add the account you want to use, and complete sign-in. Choose Always use this profile and select the new profile, or choose Prompt for a profile to be used to test it first. Start Outlook and verify mail, calendars, contacts, and sending before deciding what to do with the old profile. Profile controls may be unavailable in some installations or managed devices.
  7. Remove an account from classic Outlook only when it is not the primary account. Go to File > Account Settings > Account Settings, select the account on the Email tab, choose Remove, and confirm. If Remove is unavailable or Outlook says the account is primary, use the new-profile method instead of trying to delete profile files.
  8. On Outlook for Mac, change the account used to send a message. Open a new message and use the From menu to select the sending address. To remove a connected account, open Outlook > Settings (or Preferences in some versions) > Accounts, select the account, and choose the remove button. Confirm only after checking any warning about downloaded data. If you want to change which account is added first or appears first, use the account list controls available in your version; this is not always the same as changing the default sender.
  9. On iOS or Android, remove a connected account through the app settings. Tap your profile icon, then the gear icon. Select the account, open its account settings, and choose Delete Account or Remove Account, if shown. Confirm the prompt. Mobile Outlook may not offer a setting to designate a primary account; select the sender address while composing if multiple accounts are available.
  10. Test the change. Compose a message, inspect the sender address, and send a test to an address you can check. Confirm that the account you intended to keep is still present and that its folders and calendar are accessible.

Common Mistakes

  • Confusing the default sender with the primary account. Setting a default changes which address is used for new messages; it does not necessarily change which account Outlook treats as primary for the profile.
  • Removing the wrong account. Check the full email address before confirming, especially if several accounts have similar names.
  • Assuming removal deletes the mailbox. Removing an account from Outlook usually disconnects the app; it does not cancel the email service or erase server-stored mail. Local-only data can be different.
  • Deleting the old classic Outlook profile too soon. First verify that the new profile has the mail, calendar, contacts, and any needed archives. Some data files may be stored only on the computer.
  • Expecting the From choice to control replies. Outlook may choose the account that received a message when you reply. Check the From field on replies as well as new messages.

Tips

  • When uncertain, create and test a new classic Outlook profile rather than removing the existing one. You can switch back if the new profile is incomplete.
  • Save or export important locally stored information before changing profiles or removing an account. For work accounts, follow your organization’s approved process.
  • If you only need to send one message from another address, use the message’s From menu rather than changing the account setup.
  • After a change, check the default account again if Outlook is updated or you add another account; available settings can differ by platform and release.

Troubleshooting

  • Set as Default is missing or disabled: Confirm you are in classic Outlook’s Email account settings and that the selected account is eligible. If it is the profile’s primary account, create a new profile with the desired account instead. In new Outlook or mobile, choose the sender in the message if no default control is offered.
  • Outlook keeps sending from the old address: Open a new message and inspect From. If needed, select the correct address manually, then revisit the default account setting. Replies may use the account that received the original message.
  • The account returns after removal: Check whether the device or organization manages the account, or whether it is also connected through Windows or another app. Ask the administrator before changing a managed setup.
  • You cannot find Mail in Control Panel: Search Windows for Mail or Mail (Microsoft Outlook) while Outlook is closed. If the control is absent, your Outlook installation may not expose classic profile management; use Outlook’s available account settings or contact your support team.
  • Mail or folders appear missing: Check that Outlook is online, allow time for the mailbox to synchronize, and confirm you selected the correct profile. Do not erase the old profile or local data until you have identified where the missing items were stored.

Frequently Asked Questions

Can I change the primary account without removing it?
Sometimes. You can often set a default sending account or choose a sender per message. In classic Outlook, replacing the profile’s primary account may require creating a new profile.

Does removing an account from Outlook delete my email address?
No. It normally disconnects the account from Outlook on that device. It does not close the mailbox with its email provider.

Will I lose my emails if I remove the account?
Messages stored on the mail server usually remain there and can sync again when you reconnect. Local-only messages, archives, or other data may not, so check and preserve them first.

Can I have more than one account in Outlook?
Yes. Outlook supports multiple accounts in many versions. You can choose the sending address for a message, even if only one account is set as the default.

Why does Outlook use a different address when I reply?
Outlook may reply from the account that received the original message. Check the From field before sending, particularly when the message was sent to a shared or secondary mailbox.
