Excel Timeline Filter: Step-by-Step Guide

Guide 10-9027 · Updated · Step by step

This guide shows you how to add a timeline filter to an Excel PivotTable or PivotChart, letting you quickly narrow your data by date ranges—like showing only the last quarter or a specific month. You’ll need a PivotTable already created from your data, and your source data must contain at least one column with real dates (not text). The timeline filter works like a slicer but is designed exclusively for dates.

What You’ll Need

  • Excel 2013 or later (timeline filters are not available in earlier versions).
  • A PivotTable or PivotChart already inserted in your workbook.
  • A date column in your source data formatted as dates (Excel recognizes them as dates, not text).
  • Your PivotTable must have the date field added as a row or column label, or at least be available in the field list.

Step-by-Step

  1. Select your PivotTable – Click anywhere inside the PivotTable. If you’re using a PivotChart, click the chart. This activates the PivotTable Analyze (or Analyze) tab in the ribbon.
  2. Go to the Insert Timeline button – On the PivotTable Analyze tab (or Analyze on a Mac), look for the Filter group. Click Insert Timeline.
  3. Choose the date field – A dialog box appears listing all date fields from your source data. Check the box next to the date field you want to filter by, then click OK.
  4. A timeline control appears – Excel adds a floating timeline box, usually near your PivotTable. It shows a horizontal bar with months (or quarters/years depending on the level you choose).
  5. Select a time range – Click directly on a month block to show only that month. To select a range, click and drag across multiple months. Hold Ctrl to select non-adjacent months.
  6. Change the time level – In the top-right corner of the timeline, click the drop-down arrow (it shows “MONTHS by default). Choose QUARTERS, YEARS, or DAYS to adjust the granularity.
  7. Use the time period buttons – At the bottom of the timeline, you’ll see buttons like YEARS, QUARTERS, MONTHS, or DAYS (depending on the level). Click these to quickly jump to a specific period, or use the arrows to move forward/backward.
  8. Clear the filter – To remove the timeline filter, click the Clear Filter icon (a funnel with an X) in the top-right corner of the timeline box.
  9. Connect to multiple PivotTables – If you have several PivotTables that use the same data source, right-click the timeline, choose Report Connections (or Connections), and check the ones you want to sync.
  10. Move or resize – Drag the timeline by its title bar to reposition it. Drag the edges to resize. It will float over your worksheet, so you may want to place it neatly near your PivotTable.

Common Mistakes

  • Dates stored as text – If your date column is text (e.g., “Jan 2023â€ as a string), Excel won’t recognize it as a date, and the timeline won’t appear in the Insert Timeline dialog. Convert text to dates using the DATEVALUE function or Text-to-Columns.
  • No PivotTable selected – If you click Insert Timeline without selecting a PivotTable, the button is grayed out. Make sure you’ve clicked inside the PivotTable first.
  • Using a regular table instead of a PivotTable – Timeline filters only work with PivotTables and PivotCharts. They do not work with Excel tables (Ctrl+T) or ranges.
  • Forgetting to update the PivotTable – If you add new data to your source, you must refresh the PivotTable (right-click > Refresh) before the timeline will show the new dates.
  • Filtering the wrong field – The timeline filters only the date field you chose. If your PivotTable has multiple date fields, make sure you pick the correct one.

Tips

  • Use keyboard shortcuts – With the timeline selected, press Ctrl+Shift+Down Arrow to extend selection to the end of the month range, or use Ctrl+Shift+Right Arrow for a full year.
  • Combine with slicers – You can use a timeline and a slicer together for powerful filtering. For example, a slicer for product category and a timeline for date range.
  • Format the timeline – Right-click the timeline and choose Timeline Settings to change the header, style, or the number of buttons shown.
  • Hide the timeline when not in use – If you want to keep the dashboard clean, you can hide the timeline by right-clicking and selecting Hide. It will still remain active.
  • Use the “Selection Paneâ€ – If you have many floating objects, go to Home > Find & Select > Selection Pane to easily toggle visibility of the timeline.

Troubleshooting

  • Timeline button is grayed out – This means you haven’t selected a PivotTable. Click anywhere inside the PivotTable first, then try again. If you’re using a PivotChart, click the chart.
  • Date field not showing in the Insert Timeline dialog – The field must be a date type. Check your source data: select the column and look at the Number Format. If it says “Textâ€, convert it to a date format (e.g., Short Date). Then refresh the PivotTable.
  • Timeline doesn’t filter all data – If your PivotTable is based on a table that includes blank rows or dates outside the range you expect, verify the source range covers all rows. Also ensure you’ve refreshed the PivotTable after adding new data.
  • Timeline shows “Cannot group that selectionâ€ – This error appears when Excel can’t group the dates, often due to text dates or mixed formats. Clean your date column and ensure all cells are actual dates.
  • Timeline disappears after saving/reopening – This can happen if the timeline is on a hidden sheet or if the PivotTable is on a protected sheet. Unprotect the sheet, or move the timeline to a visible area.

Frequently Asked Questions

Can I use a timeline filter without a PivotTable?

No. Timeline filters are only available for PivotTables and PivotCharts. If you want to filter a regular Excel table by date, you can use the built-in date filters in the column header dropdown (e.g., “Date Filters > Between).

How do I show only the last 30 days?

You can’t set a relative “last 30 daysâ€ directly in the timeline. Instead, use a date slicer or the regular date filter in the PivotTable row label. Alternatively, add a calculated field that flags dates within the last 30 days using TODAY().

Can I connect one timeline to multiple PivotTables?

Yes. Right-click the timeline, choose Report Connections, and check the PivotTables you want to sync. All connected PivotTables must share the same source data range.

Why is my timeline showing months but I want days?

Click the drop-down arrow in the top-right of the timeline and select DAYS. Note that if your data spans many years, days view may be too granular; you can still use the scroll bar to navigate.

Does the timeline affect the underlying data?

No. The timeline only filters what the PivotTable displays. Your source data remains unchanged. To remove the filter, click the clear filter icon.

Can I change the color or style of the timeline?

Yes. Select the timeline, go to the Timeline tab (appears when the timeline is selected), and choose a style from the gallery. You can also change the font and size.
