10 Tech How-To

Print Outlook Email, Calendar & Contacts

Guide 10-23964 · Updated · Step by step

This guide shows you how to print emails, calendar views, and contact lists from Microsoft Outlook (desktop versions for Windows and Mac). You’ll learn the exact menu paths, print settings, and common pitfalls so you can get a clean, readable hard copy or PDF without wasting paper.

What You’ll Need

  • A computer with Microsoft Outlook installed (Microsoft 365, Outlook 2019, 2021, or 2024; the steps are nearly identical across these).
  • A printer, or a PDF printer (like “Microsoft Print to PDF” on Windows or “Save as PDF” on Mac) if you want a digital copy.
  • Paper and ink if printing physically.

Step-by-Step

Print a Single Email

  1. Open Outlook and go to the Mail view (usually the first icon at the bottom-left).
  2. Double-click the email you want to print to open it in its own window. (Printing from the reading pane often cuts off attachments or formatting.)
  3. In the message window, click File in the top-left corner.
  4. Click Print. A preview appears on the right.
  5. Choose your printer from the drop-down, then adjust settings:
  6. Under Settings, choose Memo style (default), which prints the header and body. For a more compact version, select Table style.
  7. Click the Print button at the top.

Print Multiple Emails or a Whole Folder

  1. In the Mail view, select the first email in the list.
  2. Hold Ctrl (Windows) or Cmd (Mac) and click additional emails to select multiple. To select all, press Ctrl+A / Cmd+A.
  3. With the emails highlighted, click File > Print.
  4. In the print dialog, under Settings, choose Table style. This prints each email as a row with sender, subject, and date – not the full body. If you need full bodies, print each email individually.
  5. Select your printer and click Print.

Print a Calendar View (Day, Week, Month)

  1. Click the Calendar icon at the bottom-left.
  2. Choose the view you want to print: Day, Work Week, Week, or Month from the top ribbon.
  3. Navigate to the date or week you want (use the arrows or the date picker on the right).
  4. Click File > Print.
  5. In the print preview, you’ll see a Settings section. Choose the print style:
  6. Daily – shows one day with time slots.
  7. Weekly – shows one week (choose “Weekly Agenda” for a text list).
  8. Monthly – shows the whole month as a grid.
  9. Adjust the Start and End dates if you want a custom range (e.g., a 3-day span).
  10. Check the preview, then click Print.

Print a Contact or Contact List

  1. Click the People (Contacts) icon at the bottom-left.
  2. To print a single contact, double-click the contact to open it, then click File > Print. Choose Memo style for a full detail page.
  3. To print a list, select the contacts you want (hold Ctrl/Cmd to select multiple, or Ctrl+A / Cmd+A for all).
  4. With contacts selected, click File > Print.
  5. Choose a style:
  6. Card – prints each contact as a small card (good for a directory).
  7. Phone Directory – prints a compact list with names and phone numbers only.
  8. Table – prints a table with all fields you see in the list.
  9. Click Print.

Print to PDF (Instead of Paper)

  1. Follow the steps above until you reach the print dialog.
  2. Instead of a physical printer, choose Microsoft Print to PDF (Windows) or Save as PDF (Mac).
  3. Click Print and choose a location to save the file.

Common Mistakes

  • Printing from the reading pane: This often cuts off formatting and attachments. Always open the item first.
  • Wrong date range: The calendar print preview defaults to the current view. If you’re viewing a month but want a week, change the view before printing.
  • Selecting all emails accidentally: If you click an email and press Ctrl+A, you might select thousands. Check the preview – it will show a huge number of pages.
  • Ignoring the preview: The preview shows exactly what will print. If it looks wrong, you can still cancel and adjust.
  • Using “Table” style for a single email: That style only prints the header info, not the body. Use “Memo” for a full email.

Tips

  • For a calendar, use Weekly Agenda style to save paper – it lists appointments in a compact text format.
  • To print only certain days within a month, set the Start and End dates in the print settings instead of changing the view.
  • For contacts, the Phone Directory style is perfect for a quick reference sheet.
  • Before printing, use the Print Preview to check for missing columns or clipped text. If something is cut off, try changing the page orientation to Landscape (in the print dialog).
  • If you print a calendar with color categories, enable the “Print in color” option in printer settings to keep the color coding.

Troubleshooting

Print button is grayed out: Make sure you have a printer selected. If using a PDF printer, it might not appear until you click the drop-down.

Calendar prints blank or missing appointments: Check the date range in the print settings. Also, make sure you’re not in a “Overlay” or “Schedule View” that doesn’t print well. Switch to a standard Day/Week/Month view first.

Only the first email prints despite selecting multiple: In Outlook, when you select multiple emails and print, the “Table” style prints them all. If you choose “Memo” style, it prints only the first one. Use “Table” for multiple.

Contacts print with no phone numbers: The “Card” style may not include all fields. Try “Table” style and check the preview – you can also customize the columns by right-clicking the column headers in the contact list before printing.

Print preview looks different from the screen: Outlook uses a simplified rendering for print. This is normal. Adjust the style or orientation to get the closest match.

PDF file is too large: If printing a long email thread to PDF, the file can be huge. Try printing only the selected text or use the “Table” style for a summary.

Frequently Asked Questions

Can I print an email thread with all replies? Yes, open the email and print it. Outlook prints the entire conversation by default. To print only one message, click the “Expand” arrow at the top of the conversation and select the specific message, then print that message.

How do I print a calendar without the side panel? The print preview automatically excludes the navigation pane. If you still see extra columns, change the print style to “Daily” or “Weekly” – “Monthly” sometimes includes a task list on the side. Check the preview and adjust the style.

Can I print a contact’s photo? Yes, if the contact has a photo stored, the “Memo” style for a single contact will include it. For a list, the “Card” style may include photos if they’re present.

Why does my printed calendar show times in 12-hour format when I use 24-hour? Outlook uses the Windows/Mac system time format. Change the system time format in your operating system’s settings to 24-hour, then restart Outlook before printing.

Can I print a calendar for a whole year? Yes, set the Start date to January 1 and End date to December 31, then choose the “Monthly” style. It will print 12 pages (one per month).

Is there a way to print a contact list as a mailing label sheet? Outlook doesn’t have a built-in label template. You can export contacts to Excel and use Word’s mail merge to create labels. For a simple list, use the “Table” style.
