Reprint Credit Card Machine Receipt: Quick Steps

Guide 10-28151 · Updated · Step by step

This guide shows you how to reprint a receipt or report directly from a credit card machine (also called a payment terminal or POS device). This is useful when a customer loses their receipt, you need a duplicate for your records, or you need to run a daily or shift summary report. Before starting, make sure the machine is powered on and connected to the network, and that you know the merchant password or manager PIN if your terminal requires one.

What You’ll Need

  • The credit card machine (terminal) you used for the original transaction.
  • Thermal receipt paper (if the machine is out of paper, it may not print).
  • Your merchant password or manager PIN (often required to access the menu).
  • The transaction number or approximate date/time of the original sale (for reprinting a specific receipt).

Step-by-Step

  1. Turn on the terminal. If it’s off, press the power button (usually on the side or top). Wait for it to fully boot up and show the idle screen (often says “ENTER” or “SALE”).
  2. Access the main menu. Press the MENU key (or the button with three lines / gear icon). If your terminal has a touchscreen, tap the menu icon.
  3. Enter your password or manager PIN. Many terminals prompt for a password when you enter the menu. Enter the merchant password (often 0000 or a 4-digit code set up by your processor). If you don’t know it, call your payment processor’s support line.
  4. Find the “Reports” or “Reprint” option. Look for a menu item labeled REPORTS, REPRINT, HISTORY, or TRANSACTIONS. On most terminals, it’s under REPORTS or MANAGEMENT.
  5. Choose what you want to reprint.
    • For a specific transaction receipt: Select REPRINT RECEIPT or TRANSACTION LOG. You’ll be asked to enter the transaction number (from the original receipt) or to search by date. Use the keypad to enter the transaction number and press ENTER.
    • For a report (daily, shift, or summary): Select REPORTS, then choose the type (e.g., DAILY, SHIFT, SUMMARY, Z-REPORT). You may be asked to enter the date or shift number. Confirm the selection.
  6. Confirm the reprint. The screen will show a summary (e.g., “REPRINT RECEIPT?” or “PRINT REPORT?”). Press YES or ENTER to confirm.
  7. Wait for the print. The terminal will print the receipt or report. If it doesn’t print, check the paper roll (see Troubleshooting below).
  8. Return to the idle screen. Press CLEAR or EXIT repeatedly until you’re back at the main screen.

Common Mistakes

  • Entering the wrong transaction number. Always double-check the number on the original receipt. If you don’t have it, use the date search instead.
  • Selecting “Reprint” instead of “Reports” for a summary. A summary report (like a Z-report) is usually under “Reports,” not “Reprint.”
  • Forgetting the manager password. If you enter the wrong password three times, the terminal may lock you out temporarily. Wait a few minutes or contact support.
  • Using non-thermal paper. Some terminals require thermal paper. Using regular paper can jam the printer or damage it.
  • Printing a duplicate without noting it. On some systems, a reprinted receipt may show “COPY” or “DUPLICATE” – that’s normal, but make sure the customer knows it’s a copy.

Tips

  • Keep your transaction numbers organized. Write them on the original receipt or in a log. This makes reprinting much faster.
  • Run a daily report at the end of each shift. This helps with reconciliation and reduces the need to reprint old receipts later.
  • Use the date search if you don’t have the transaction number. Most terminals let you search by date and then scroll through transactions.
  • Check paper level before you start. If the paper is low, replace it first to avoid a mid-print jam.
  • Know your terminal model. The menu names vary slightly between brands (e.g., Ingenico, Verifone, PAX). If you can’t find the option, look up the manual for your specific model.

Troubleshooting

  • Nothing prints after confirming. Check the paper roll: open the paper compartment and see if the paper is loaded correctly (the thermal side should face the print head). If the paper is out, install a new roll. Also, check if the printer head is dirty – gently clean it with a cotton swab and isopropyl alcohol.
  • “NO TRANSACTION FOUND” error. You may have entered the wrong transaction number. Try searching by date instead. If it still doesn’t find it, the transaction may have been voided or settled – check with your processor.
  • Terminal says “PRINTER ERROR” or “PAPER JAM.” Turn off the terminal, open the paper compartment, remove any jammed paper, and reload a fresh roll. Turn it back on and try again.
  • Can’t access the menu because you forgot the password. Contact your payment processor’s support. They can reset the password or provide the default one for your terminal model.
  • The report prints but is blank. The thermal paper may be installed upside down. Flip the roll so the shiny side faces the print head.

Frequently Asked Questions

Can I reprint a receipt for a transaction made days ago?

Yes, most terminals keep a history of recent transactions (usually the last 100-500). You can search by date or transaction number. If it’s older than the terminal’s memory, you may need to contact your processor.

Does reprinting a receipt affect my settlement?

No. Reprinting is just a copy of the original transaction. It does not change the amount, void the sale, or affect your settlement.

Why does my reprinted receipt say “COPY” on it?

This is a security feature. It tells anyone reading the receipt that it’s a duplicate, not the original. It’s normal and doesn’t affect the validity of the receipt.

Can I reprint a report for a previous day?

Yes, most terminals allow you to select a date when generating a report. If the date is too far back, it may not be available on the terminal – you’d need to get it from your processor’s online portal.

What is a Z-report and why would I reprint it?

A Z-report is a summary of all transactions for a specific shift or day. You might reprint it for accounting, tax records, or if you lost the original. It shows totals for sales, refunds, and payment types.

Is there a way to reprint without a password?

Usually no. The menu is password-protected to prevent unauthorized access. If you don’t have the password, contact your processor. Some terminals allow a “quick reprint” of the last receipt from the idle screen – check if your model has that feature.
