10 Tech How-To

Use Microsoft Designer in Teams Chat

Guide 10-15809 · Updated · Step by step

Microsoft Designer is an AI-powered image generation tool now integrated directly into Microsoft Teams chat. This guide shows you how to use Designer inside a Teams conversation to create images without leaving the app. You’ll need a Microsoft 365 work or school account with access to Teams and the Designer app enabled by your administrator.

What You’ll Need

  • A Microsoft 365 work or school account (personal accounts may not have Designer in Teams).
  • The Teams desktop app or Teams on the web (Edge or Chrome recommended).
  • Designer enabled by your IT admin in the Teams admin center.
  • An active internet connection.

Step-by-Step

  1. Open a chat in Teams. Go to the left sidebar and select Chat. Choose an existing conversation or start a new one by clicking the New chat button.
  2. Locate the Designer icon. In the message composition box (where you type), look for the small icons below the text field. You may need to click the plus (+) or More options (three dots) to find it. The Designer icon looks like a diamond or a stylized sparkle shape.
  3. Click the Designer icon. A panel will open on the right side of the chat window, dedicated to Microsoft Designer.
  4. Describe your image. In the text box labeled Describe the image you want to create, type a detailed description. For example: “a red fox sitting in a snowy forest at dusk, photorealistic, high detail”. Be specific about style, lighting, and composition.
  5. Choose an image style (optional). Below the prompt box, you’ll see style chips like Watercolor, 3D Render, Pixel Art, or Photorealistic. Click one to apply it to your prompt.
  6. Generate the image. Click the Generate button (usually a blue button at the bottom of the panel). Designer will create four variations based on your description.
  7. Review the results. The generated images will appear in the panel. Click any image to preview it larger. You can also click Regenerate to get a new set of variations, or refine your prompt and generate again.
  8. Insert the image into the chat. Once you’re happy with an image, click the Add or Insert button that appears when you hover over the image. The image will be placed into the message box, ready to be sent.
  9. Send your message. Add any text you want alongside the image, then press Enter or click the Send button. The image is delivered as a regular chat message.

Common Mistakes

  • Not finding the icon. The Designer icon might be hidden behind the More options (three dots) menu in the message box. Check there if you don’t see it.
  • Vague prompts. Descriptions like “a dog” produce generic results. Include details like breed, setting, lighting, and style for better images.
  • Forgetting to insert the image. After generating, you must explicitly click Add or Insert to place it in the chat. Simply generating doesn’t send it.
  • Using personal Microsoft account. Designer in Teams is only available for work/school accounts. If you’re signed in with a personal account, the icon won’t appear.
  • Ignoring content restrictions. Designer blocks prompts for harmful or inappropriate content. If your prompt is rejected, rephrase it to be more neutral.

Tips

  • Be descriptive. Use adjectives for mood, lighting, and composition. For example: “a cozy cabin in the mountains at sunset, warm lighting, wide-angle shot”.
  • Use style presets. The style chips (like Watercolor or 3D Render) can drastically change the look. Experiment with them.
  • Iterate. Don’t settle for the first set of images. Regenerate or tweak your prompt based on what you see.
  • Keep it work-appropriate. This is a Teams chat, so avoid prompts that could be offensive or unprofessional.
  • Use it for quick visuals. Designer is great for creating quick illustrations for presentations, documents, or just to add fun to a conversation.

Troubleshooting

  • Designer icon is missing. First, ensure you’re using a work/school account. If you are, the app may be disabled by your admin. Contact your IT department to request access. Also, try updating Teams to the latest version.
  • Image generation fails or errors. Check your internet connection. If the prompt is too long or contains blocked words, you’ll get an error. Shorten the prompt and remove any potentially restricted terms.
  • Images are not inserting into chat. Click the image thumbnail first to select it, then look for the Add button that appears. If that doesn’t work, try copying the image (right-click > Copy) and pasting it directly into the message box.
  • Designer panel is blank. Close the panel and reopen it. If that fails, restart Teams or try using Teams on the web.
  • Results are poor quality. Make your prompt more specific. Add words like “high resolution”, “detailed”, or “professional photography” to get better results.
